Upcoming Feature: Know what's going on in your group
I want to share a sneak peak of the upcoming Activity Feed feature with you.
With this feature, when content is added to or changed in your group’s Web Computer, every registered member can receive notification about the change via email!
This new feature will be a good way to help everyone in a group to be "in the know." We are also hoping that this new feature will become especially useful to group organizers -- who may have had challenges in convincing others to use AirSet.
As a member, if you choose, you can find out in real time the changes that other members made to appointments, meeting schedules, discussion forum threads, files, web documents, and more in your group’s Web Computer. You can also choose to NOT receive any notifications or only receive it once a day at the end of the day.
If you are a current AirSet user, after the release, you will be receiving a combined Activity Feed report at the end of the day. But you will be able to change the default setting easily by following a link in the "Activity Feed Email."

greatexcellent feature and will be a great asset to organizers and other users.
I am sure that you have discussed this at length, but IMO it is a mistake to have users "opt out" instead of having users "opt in." As the organizer, I will receive many contacts from other users concerning this new email that they did not sign up for.

Thanks Jim. We are really excited about this release. This should make all of the groups more interactive.
We have thought about the default setting you mentioned long and hard, and have tested with different users. But the challenge is that if we don't have it on in the beginning, some users might never discover it -- like many other really great features of AirSet that is just not known to everyone. So instead, we will have the current user only receive a daily email for this (as default), and make the option to change the settings really discoverable in the email that users receive.
Moreover, after the release, the organizer can set the default for the entire group, but not for individual users in the group, each user can then override the default.

Inappropriate?I understand your dilemma--at least partially. Personally, I would rather see a report after each release that mentions improvements, new features, and fixes, with links to more information (as applicable).
As an organizer, it seems I am blind sided by emails sent out by AirSet, putting me into a damage control mode more often than I would like. There are still a great many marginal luddites out there that have email and cell phones, several of which belong to my groups. When these folks get an email that says AirSet and is not something they understand, I am sure to get an email, phone call, text, or face to face conversation (and sometimes it is all four!) about the email that they received.
I know as an organizer that this is my role, but I'd sure like to minimize the impact and consequences. Especially the unexpected instances.

P.S. Sorry, I meant to add that a one time email is ok, but the everyday emails is going to be a bit much for folks that only want to know about the events that have them listed as a participant.

Though some users wanted more visibilities into the happenings inside their groups' web computers, we completely understand why some will find it too much. Which is why we have the option for organizers like yourself to change the setting for these Activity Feed email notifications for your group.
Once the release is live later tonight, you will be able to change the default setting for your group members. So that they won't have to see any email notification.

Moreover, every user will see a "what's this email" link in the email that they receive -- and that will take them to a page where the reason for receiving these email, as well as how to turn it off, will all be explained.

Thank you for the Notifications feature! I'm happy that it is finally there! Fundamentally, I think it is good. However, there are problems. The following applies only to the Calendar app.
I immediately turned notifications off for the entire group. I understand Jim's situation completely. At the moment, it is hard to see the wood for the trees. Also, this is yet another setting for an administrator to remember when making a new Web Computer (I'm sure many of us are not paid to do this job!).
I can see changes in events which I'm involved in, but switching this setting actually prevents me from seeing new events coming in. That seems counter-productive to me. If I would like to monitor new events as they are added to the calendar, I can only do this by wading through everything which happens on that calendar. I can't do that to my calendar members: they'll just walk away. They are not interested if some other group member has just put something in their personal calendar. They want to know about changes in the events they are already involved in and they want to see all new events. Basically, that's just an extra toggle in the filter: calendar/only my events/plus new events.
One other scenario which I would like to see is to be able to limit the notified acitivities to those of the administrator(s). Did you consider putting a parameter in the roles dialog to turn notifications on or off for that role? That would reduce the traffic very considerably.

Inappropriate?@ Melvyn - When group members add events to their personal calendars, it should not generate a notification to other members since they can't see a members personal calendar, they will only get notifications of changes to the group calendar. Also, the group default that you set in Administration is just a default. Each group member can over-ride this for themselves:
To Change Notifications for Individuals:
- Go to the web computer desktop and click on the View Options drop down menu and choose Change Email Settings
In the dialog that appears you can set notification options for yourself, this will not affect the group default
From what I understand, you might want to disable notifications for the group and then send an email to all of the group members that you believe would want notifications telling them how to turn these on. -

sorry to be confusing: my phrase "put something in their personal calendar" was intended to mean ticking yourself off as a participant in an event in the Group Calendar. In this way, the event gets "added to the personal calendar"! But it also generates a Notification message which is probably (my guess) - for most users - superfluous traffic.

Good point, it might not be superfluous to other members of the group that someone has added themselves to an event, but it certainly is to the person who added themselves. -

There is a Desktop menu item "Edit -> Show Activity Feed" which you can use to hide the Activity Feed panel on the Desktop. To see the feed, you can click the green triangle button at the bottom of the screen - it will display a dialog box with the current Activity listed. -
Inappropriate?Currently one of our members is complaining about getting lots of emails from the activity feed. I have set the default activity feed for the group to never. His personal settings for that Web Computer are shown in the screenshot which he sent me. All the same, he is receiving notifications for events which he is not involved in. This is what I was referring to in my earlier posting. Are we doing something wrong?

Inappropriate?Hi Melvyn, I just tried this configuration and am seeing anomalies as well... I've alerted our notifications engineer as to the issue, namely getting notified about changes to other events on the calendar even when you aren't a participant - and he is looking into it. Thanks for letting us know of the issue.

FYI: I just asked whether the spurious messages have now ceased and it seems they have - about four days ago, which tallies with the update which is mentioned in another thread here. Thank you! -

Inappropriate?Useful as the notifications feature potentially is, there is one aspect which we are finding less than helpful: the date of the appointment is not mentioned in the email we receive, nor in the listing that appears on AirSet. That means one cannot select and view items from the list based on date. This makes for very inefficient working practice. It is aggravated severely by the slow server response from AirSet - many of our members have complained about that.

Thanks for the feedback - I understand what you mean about the appointment date. Since it is our first release of this feature, it does not include all the bells and whistles that we'd eventually like to have, but development will continue. We hope to refine and improve the feature in future releases.
The slow server response that you mention has been a very high priority over the past few days, and we've update the site with a few key improvements. The timeout problems should be gone now - let us know if you encounter any more problems in that department. -
This is a tough one - we spent a lot of time trying to strike a balance between timely notification and too much info. In this case, we go to some effort to consolidate those 16 deletions into one line to avoid getting 16 separate notifications.
Thanks again for the feedback - it is crucial for a new feature like this to hear about what works and what could be improved.
