how to use bins and subsets
How do you use bins and subsets? I need help managing files, can't find any info in our manual.
How do others keep form having 800 or 1000 files to chose from when half of them are no longer active.
About 80% of our shows are on dvd as we have the small server- I return, store or toss the dvd's the that will never be played again and think I need someway to separate these id # fromthe active files.

Inappropriate? What you probally want to use the category field of the show record. For example, if you had a category of 'Active' and 'Inactive' you could set old shows to Inactive. Then in the show search, click the '+' button and search for shows that are only active.
The '+' button in a show search lets you refine your list by different criteria. It is he most effective way to search your growing show library.
There are many different ways to accomplish what you want; Categories, Dispositions; Custom fields; etc.
If other customer have a techniqe for maring their shows as archived let us know!

Inappropriate? We do the very thing that you mentioned JJ. We've added custom fields to help us manage internal/external/paid/unpaid/archived-no media, etc.
Also, by using the disposition, you can make sure that no programs can run that don't have your blessing. We never delete a record, but generally recycle tape, or discard programming to make room for the new stuff. By having an "archived-no media disposition," I can search, save the search, and manipulate as needed. The challenge is doing this before you have 800 shows. At the end of every year, all staff goes through their productions, and updates cablecast to reflect the programs disposition. What's cool is that the saved search updates as you make changes to show records. No need to search and resave the search.
I hope that ramble makes sense as to how we do it.
