Recurring Tasks

Is there any plan to make recurring tasks for things that you need to accomplish daily, weekly, monthly, etc?

    I also like this idea and know that it would be quite useful for our team. Are there enough requests yet to consider making a change and allowing for scheduling of repeating tasks (such as on a weekly or monthly basis)? We are using the cloning now, but that requires manual input and is not as user-friendly as the ability to schedule those tasks once would be.

    Please also keep in mind that for every user who bothers to mention something to you, there are at least 10 more who feel the same but have not said a thing!

    Yea, they doesnt call it "recurring tasks", they use a "template" feature.

    About cloning, i think it doesnt solve the problem, it doesnt fit on dates, and you have not that feature for lower levels (tasks, subtasks) ... basecamp has solve that problem allowing users the "template to-do" feature.

    You want a new project? ... then you add a new project and add templates as content, if you have to-do templates then you can add they to.

    Pd. You must have a friendly printer button in ALL off your pages, not just on the timeline stuff.

  • Julio - and we call it "cloning", if you put it this way.

    I'm not sure what means "does not fit on dates." The cloning keeps the durations, but adjusts dates relative to today. Very handy, since most of the time you will be cloning an old project - and why would you want it to start in the past?

    In any case, moving the whole project to new dates is simple with Timeline drag-and-drop editing.

    We do have cloning at the task level. I think you mean that we don't have it for the tasks with all its sub-tasks (as we do with projects). This is a feature we are considering, but is not linked to recurring tasks.

    The problem i see with the "relative to today" feature in cloning is that is that maybe i dont want to do that ... basecamp fits by week .. not in a daily base, in this way you can create all new projects on friday and all dates will still on "monday" if you use that day on your template, otherwise, on 5pm you get your tasks on very different days ... that sucks.

    Yea, i was talking about tasks with all sub-tasks ... hope to get this same attention when i was a 5pm user :(.

    It might not be a highly requested feature because people pass on 5pm when they see it doesn't support recurring tasks. (which I almost did)

    But after a lot of research, 5pm looks like the best option for the rest of my needs - so here I am now requesting this feature. PLEASE

    I have to agree with Justin. I really like all features of 5pm and plan to give it a few months of trial. But my team and I each have dozens of tasks that we do weekly/monthly that need to me remembered and reported on. Having recurring tasks would save me hours of data duplication each week.

    One of the most important (and common) recurring tasks is regular meetings of the project and task teams, with the preparation tasks that support them. If I have to create (or clone) something 52 times, well, I won't. So that means using another app, like Google Calendar, for the meetings. I'd do that, if I could then import them back into 5pm, but as far as I can see, I can only export to Calendar, not import from Calendar. (Please correct me if that is wrong.)
    I was seconds away from buying this for my students to use to learn project planning before I realized it wouldn't support recurring meetings. If I could make my students' votes count as another 25, I'd gladly do so.
    • Tasks may not work well for meetings, as they don't have a time associated with them. Only start and end date. Calendar events fit much better for this purpose, as you mentioned. You can easily point to 5pm tasks from Google events, using direct links to tasks (Available in the Info panel).

      If the time is not the issue, another challenge would be how to list the recurring tasks in the list view? In Calendar view they are just placed in the corresponding days. In list view how do we do that? If we have a task happening every week, do we list only the next one? What if the day of the event passed and the task was not closed? Do we still show it (overdue task), but also show the next one? Do we hide the previously completed task? Or do we show it? And how many - one back or all of them (and let the auto-archive hide them)? Basically, the question is how many back and forward to show in a list view, especially when the tasks are not closed on time (deadline expired).

  • After using 5pmweb for over a year now, I believe the easiest way for us to use recurring tasks in view would be to have subfolders for each project task. One subfolder is dedicated to recurring tasks for that task and another sub folder is dedicated to non-recurring or one time tasks.

    First, thanks for a quick and thoughtful reply. Your concern about how to display in list view is completely justified, and I'm pretty sure granite's comment is sound from the point of view of usability. (Of course, the user community may think entirely differently, but one often does not hear until a hundred labor hours of coding and testing pass under the bridge. I don't even know how I'll feel about that approach till I use it.) Still, if I had a subfolder called "team meetings" that included recurring tasks, and I could set that task to occur the way Calendar does (weekly, first Monday of the month, all those repetition options,) it would be great. I'd just name the subtask "1pm-4pm logo design team meeting" and that would do it. I would want to have the change-one/change-all option, of course. I presume Google Calendar will play nice with something like that, but maybe I'm overly optimistic.

    Meetings are such an important organizing tool, especially if the project is team-based. They use resources (time, people, the meeting room, the pizza budget) and need to be factored into any serious long-term planning process. Just because I really don't enjoy meetings, that's all the more reason I need to see them in the plan and to prepare for them, and I _run_ the dang things.

    I encountered a problem using recurring tasks in a competing product. The weekly tasks overwhelmed my view of tasks. All I could see was the same recurring task. The way I manage my recurring tasks in 5PM now is to push forward the due date and add a progress note or message each time the task is competed.

    So, for a weekly meeting, the task would show a deadline of this Friday, for example. On Friday evening, I would add notes from the meeting and edit the task to reflect next Friday's date.

    This system has been working well for me while avoiding the problems that recurring tasks can create.

    • I agree with Rosie. A work around for recurring tasks is to simply push the due date out, instead of "completing" the task. This way all the notes from the prior meetings stay in the activities tab. Having the notes in this "recurring" task has helped us several times with clients.
    • It's great as a workaround--but it's still a workaround. At some point soon I will try to answer in detail some of the questions the developers have posed in this forum. Regarding having all the notes, etc., remaining--there's no reason an automated repeating task couldn't do the same. It's good to see folks discussing this here. Rosie's idea is very helpful in defining what might or might not work. Cheers!

  • I'm with Justin--I was really enjoying the power and flexibility of 5pm, then just discovered the lack of recurring tasks: what a buzz kill! So many tasks of life and work recur. I thought I'd found the ideal project/task solution, but this gives me second thoughts. I hope 5pm will consider adding this feature to make the app perfect (or at least close to it!). Thanks.

    My business is based on repeating tasks every Monday, the 15th and 20th, the first of the month, the last of the month. It's a must-have for us. I think the person who said people scome here, see if its an option, then leave, has it right.

    When I was searching for a project management platform, the first thing I did, before I even looked a pricing, was see if it had reoccurring tasks. If it didn't, I moved on without looking at anything else. 90% of my tasks repeat, so I'm not going to waste my time using a workaround and I definitely won't be manually adding the same tasks each week. That would be a waste of time.

    Today a client, in the same business as me, asked me to check out a platform for them and mentioned 5PM. Since about 90% of their tasks repeat too, I have to go tell them this feature hasn't been added and that's a deal breaker for them as well. So. I'm once again moving on to find one that can meet our needs. However, this time, I thought I'd speak up, since I see management staying its a rare request.

    That's because those who signed up with you, signed up because they didn't need this feature. Those of us who do, aren't signing up, because trying to manage projects without it is too much of a hassle.

    We are debating switching from Basecamp to 5pm, but the dealbreakers right now are recurring tasks, and REAL templates. It is NOT a template if it is going to show up and clutter up my to-do's everyday. If we mark it as done, it messes up the date spacing. This is a no win for us. We need real templates and recurring tasks.

    • I see... Another way will be to put them into a separate Group and work in the main Group, called "Work", for example. Or place them inside a project, close the project, but leave the tasks open - you can always disable the auto-achive to find that project... But those are all workarounds.

      A better solution, it seams, is to prohibit 5pm from changing the deadlines to the actual completion date. But in this case you will not know the date when the task was actually completed (well, I mean it will be in the Progress Note - so you will have to look there). Is this something you would be ok with? Since adding an extra field -"completed", on top of "projected deadline" - will just add more complexity...
    • I vote for the bit more complexity of having the deadline and completion dates be separate bits of data. Decoupling them would be an improvement, though.

    That would work for us. In our line of work it simply matters that it got done, not necessarily when the entire project was finished. I like the idea of putting them in a separate group......I may want to try that first.

    Many people have already manifested their interest in recurring tasks. For all I know, the feature request is still only "under consideration". Considering that not many people actually take time to register and sign in to this forum in order to manifest their interest, it's important to realize that the amount of people that have already done so represent a much larger population of users and "might to become" users that wish this feature to be part of 5pm.

    We realize the ergonomic stand-out of 5pm and its ease of use through simplistic features and commands. However, it wouldn't become less simplistic or make it harder to use with the addition of recurring tasks. In fact, it would make is EASIER! Cloning tasks is far more complicated and long to complete versus a recurring tasks feature since that in cloning, you have a series of steps to do in order to achieve something practicable :
    1- Unset your filters to find a completed task or project that you want to reinstate from period to period
    2-Clone the project or task
    3-Readjust any properties to the cloned project or task (such as the name and due dates)
    4-Reset your filters the way you like them
    5-Repeat for every period this task must be completed again.

    And if you want to do time reports on a repeated task, that's complicated too. Say for example you have a task to do every first day of every month, instead of having a single recurring task which you could select in the reports module, you'll have a bunch of tasks to select.

    It seems to me that 5pm has all advantage in developing this feature. We already have read about businesses not using 5pm because of its lack of recurring tasks. We also have read about others that switched from 5pm to something else. As I mentioned earlier, the portion of what we read, whether it be requesting the feature or telling about not using 5pm because it's missing, represent only a very small portion of the issue. A very small percentage of people actually take time to write in these forums. And you'll notice that no one has ever written about how the fact that recurring tasks not being part of 5pm is a good thing.

    A lot of 5pm's replies to this entire issue has been that the competitors that have been mentioned so far do not have a such feature themselves. Now I'm not sure if the competitors' methods to reproduce tasks are easier or not than 5pm's cloning... but I am sure though that having recurring tasks in 5pm would hence put 5pm ahead of its competitors. This means, more clients and a higher percentage rate of them being satisfied clients.

    For all I know, the lack of this feature has had a negative impact on our use of 5pm (a lot of disorganization in the application) causing us to slowly stop using it. My boss mentioned today that it's not worth paying for something we have gradually stopped using, which I know directly derives from the crowded lists: which became crowded because we tried to keep projects alive (in order to periodically input tasks inside so we wouldn't forget to do them on recurring bases).

    This is why I'm taking the time to write this. I know 5pm could be right for us should this feature be implemented. I think it would be important that 5pm try to put themselves from the users' point of views and how many different ways people use 5pm instead of trying to push us workaround methods.

    • So we had an administrative meeting at the office today and one of the points discussed was the use of 5pm. I like 5pm in general. However, the others seem to think that without recurring tasks we have a tendency to neglect its use seeing as it complicates things to have to recreate the tasks that reoccur within our business. 5pm is an office tool and we all know how repetitive things get in an office environment (more or less the words used my boss).

      Once again I managed to pull it off again in convincing them to keep using 5pm and that I would create a CSV template for our standardized projects and I told them that 5pm is currently considering building recurring tasks. I don't think I can pull this off a third time if 5pm is mentioned in a future meeting.

      This has had my mind going a bit... imagine a scenario where 5pm is open-sourced and someone built the so-in-demand feature. Where would people turn to? I think the majority would get that version instead of the original 5pm.

      Therefore, if 5pm has this feature, where would the clients of the competition turn to? 5pm of course.

    This is really something I need to have. So far, this is the only major thing missing from 5pm in my opinion.

    I think it should be a high priority for the development team.

    Adding each recurring item as a separate task clutters the task list, it is tedious, and it creates more scope for errors. Too clumsy for an application that is otherwise fairly sleek and well-designed.

    I'm +1ing this again simply because it's such a big deal! Using cloned tasks or just recreating them month after month is a huge waste of time!
