A few questions that need answering please, mostly about subscription

-When the re-registration emails are sent out automatically or when an applicant signs up, is there anyway that we can personalise the email please? 

-Is there anyway we can change the Sport to include “Horse Archery” please? We’ve had a few complaints that people are confused that we aren’t labelling that. I read that if we were to have another sport and label it Archery, people would be charged both subscription for the riding and the archery which we want to avoid added confusion. 

-We have had the most trouble setting up the subscription area. We have set up members accounts to see if we can trial the payment and it’s saying the 15th May even though we have tried to change this. In addition to this, we’re also having issues with it saying that members do not owe money when they still have the membership fee outstanding. Is there a way we can have assistance with this please?

I might be able to help with the re-registration emails. If you go into communication and then emails and then templates you should be able to see the different emails sent out at different stages which all have bits that you can edit to sort you.

With regards to the other bits and pieces I am sorry I can't help. We tried to pilot the system but failed everytime we tried. We still haven't got sorted how to manage the prorata adding of subs if people join part what through year.

Anne has explained how to customise the emails that are sent out. Here's my input on your other points.

I think ClubBuzz will be able to add “Horse Archery” as a new sport, they added one for us very quickly.

You don’t necessarily have to charge a subscription to members for every sport. We have “cycling” and “triathlon” set up as sports but we only charge the annual subscription to our “running” sport so we include all members in that. You probably know already but you can set this in Financial Accounting/Club Accounts/Manage Subscription Accounts.

With Subscription Accounts, once the due date has passed, or 10 days after you create the account, you can no longer change the due date. It will automatically move on to same date next year but nothing else. 

We normally charge our annual subscriptions on 1st April but we have reduced the amount and delayed charging this year on account of the normal club activities being suspended during lockdown.  To do this we set the charge for the usual account to zero and set up a new account with the reduced amount and a due date of 1st June. We don’t expect to use this new account again so will just set the charge to zero after this year.

I’m afraid I can’t offer any help with the members being told they don’t owe money when you think they do, that isn’t something we’ve come across. There may be issues with how the subscription accounts are set up so it’s worth checking that the members’ accounts have actually been charged by the system.
