I have a csv file of all our members from England netball. I have spent a long time trying to ensure the fields match with your fields in order to facilitate the import, but I need more information. The easiest way would be for you to provide a csv template which we would then populate by cutting and pasting from our csv file. If that is not possible, could we have fuller (idiot proof) instructions please?

You should be able to upload you CSV file easily - what message are you getting when you try to import the file? We will then try and see what the issue is and help you to resolve it :)

The problem i've got is trying to match my csv info to the boxes provided on the clubbuzz import members screen. There isn't enough specific information for me to see what's wrong - just that it failed.

OK - you don't have to match all fields, just look at the ones that are common to both your file and our headers (and note the headers don't need to match) so if your header is first name and our header is forename they can be matched. Check the box next to all the common headers you want to import and as long as every member has name and email address the file should import - we we also write a guide to creating a csv file for future reference :)

We have produced a guide on how to create a CSV file please email support@clubbuzz.co.uk for the file (which has screen shots) or see below for the text version

Importing Member Details
If you already have details about your members on computer you should be able to import them into ClubBuzz rather than enter them all over again.

The format required for importation is a CSV file (stands for comma separated variable length fields).

If you are using MS Excel or another form of spreadsheet you will find that you can save your records as a CSV file. (You can select the type of file when saving it). If you are using a database program such as MS Access, you can probably export the data to a spreadsheet program such as MS Excel and then export from there as a CSV File.

It doesn't matter how many fields you have in your membership record providing it includes the following fields

Forename
Surname
email address (this has to be unique in the membership database)
The system also checks to ensure that the fields conform to standard format; so telephone numbers must begin with 0 and consist of a string of eleven numbers. (This means the formatting of the telephone number cells must be set to TEXT.)

The date of birth can be in any of the following formats

31/10/80
1 Feb 87
2 Mar 1976
11/11/2009
31 December 1987

If you have rights to modify membership records, log on and select Members from the left-hand menu.
Click on the Import Members Button
Select the CSV file you have prepared for importing.
Click on the UPLOAD MEMBERS Button
You will then be presented with the import screen:

The list on the right echoes the field names in the imported file.
For each, identify the field in the ClubBuzz members' database that coincide with the title in your spreadsheet.
Once you have selected all these fields, only if your file DOES NOT HAVE a header row (Identifying each column), remove the tick in the “Skip First Row?” Box.
Next click on IMPORT MEMBERS. The records of all members with correctly formatted data will be imported.
The screen will tell you how many records have been successfully imported together with the number presented for importation.
If all the records are not accepted, you need to find which membership records have been rejected and check them to determine the reason(s) for that rejection and then correct those records. You can then present the whole file again for importation and the system will only import records that have not already been added.
Once a file is imported the system will automatically send an invitation to each email address inviting the member to accept the invitation and select a password. They can then log in and add further information to their member record.
