How do you manage subscriptions?

I can't figure out how to manage subscriptions (when they're collected, what value they're set at, etc) from the financial accounting package, after the financial package has been set up.

Timeline for payments

Subscription date governs the initial date subs are written to the member account

e.g. 1st October

If you have set up instalments e.g. 3 instalments on the 1st October the system writes three payments to the account of members opting to pay instalments which is the total amount divided by 3


If a member hasn't opted to pay by instalments it will write the full amount to 1/10

The system then creates the members statement on the 15th of every month - the statement is what triggers payment.

Either the member pays the statement directly from the system (depending upon your chosen payment options a paypal or gocardless button appears on their statement OR if they have opted for direct debit this collected at month end (member receive an email asking them to check their statement)

In terms of setting up the subscription amounts you will set up all your member categories and then your subscription accounts. This allows you to allocate the correct amount to each membership type

I would suggest two things

1. Download gold manual from the help menu
2. I will email you login details to our demo club and you can take a look at that for yourself

We have just set up payment via GoCardless. Payments (both one-off and instalments) have been made to our bank account but I can see no record of the payments on the member account, other than manually recording it. We have set up Stripe and we are seeing payments coming in for confirmation. Am I missing something in the GoCardless setup ?

Martin - payments should credit the member account 

If this is not the case please contact with details of a member transaction that has gone through your GoCardless dashboard but is not showing on the members account so we can review it
