I think it would be useful if when you send out an email any replies could be directed back to the club email address. At the moment members can't reply to any email they receive from Clubbuzz. I know myself it's so easy just to hit reply without thinking.

Because we use one email provider for all clubs it would not be possible to have a direct response that would filter through to each individual club, let alone all the different committee members who may have sent the email. We therefore add the clear do not reply message to the top of each email and suggest you make it clear in the text who you would like members to respond to

Instead of the "DO NOT REPLY TO THIS EMAIL" message, can we over-ride this so that it reads something like "PLEASE REPLY TP xxxxxx@xxxxx.co.uk"

This is an option we will look at to try and make it clearer to members who to respond to

I agree we need to be able to tailor the message that is being included at present or be able to direct the replies to a different email account as members are seeing the "DO NOT REPLY TO THIS EMAIL" message and just not opening it. It is good to be able to email members from within the site but if they don't read them then it is not really a benefit.

Yes, the "DO NOT REPLY ..." message spoils an otherwise useful facility. Would it be possible to amend the facility so that we could add a Reply To when drafting the message so that replies are possible and so that they can go to the designated sender?

This reply was created from a merged topic originally titled
Do not reply to this email.

Any chance the message can be changed on the selection emails, that require a response. Some people get confused as when it says "DO NOT REPLY TO THIS EMAIL" they do not respond to the Selection. Maybe "DO NOT REPLY TO THIS EMAIL ADDRESS" or "THIS EMAIL ADDRESS DOES NOT RECEIVE INBOUND MESSAGES"

I have merged these two topics as they cover the same ground, we will be reviewing the standard emails

Hi. Has anything been done about this yet? We are having great difficulty persuading team coaches to use ClubBuzz to email players, given that they can't be replied to! If at least they could delete the "DO NOT REPLY..." phrase and add in a line about where they should direct their reply, it would be better. Without this facility, we find coaches are still using their own email address lists, which don't get updated when profiles on ClubBuzz get updated. It's a real issue for us!

Technically it should not be a problem, the actual originator's email address is simply specified as the sender when the SMPT call is made.

As od 10/12/14 the folowing enhancements have been made
  • Ability to edit the text of the system generated emails sent to your members.  This allows you to make these emails more personal to your club and add in essential information that you want to provide.

  • Ability to add in a "respond to" email address, which means say goodbye to the "DO NOT RESPOND" message!

  • For clubs using silver plus, the option to filter email recipients by payment type in order to chase late payments

  • Go straight from uploading a club or team event in the calendar to the email function to communicate that event to your members.

  • Add non member emails to any communication

  • View a report to see  if an email was delivered or failed (currently you are not informed if an email bounces or an email address is invalid)
To edit system emails just go to communicate/email/email templates  - select the relevant email and make your changes to it.

In all emails whether system or regular email you will see option to add a respond to email address, adding an email address in will deactivate the "DO NOT RESPOND" message on current emails.

In all regular emails you now have the option to add non member email addresses so you can send emails to non-members of the club if required

To view status of email there is a new report in emails which will show any emails that have failed to send

Hi Sarah,

This is a really great improvement - well done and thanks

Can I ask a couple of questions on it?

When does the "Please complete repayment preferences email template" get sent out to members?

Also for some reason the website details (which are editable on all other emails) are not editable on the match Selection email - could this be changed??

The repayment preferences email is sent:

to existing members when the club switch on the gold functionality
to new members on joining the club

In terms of the second point I will add to our change list - this won't be immediate but wil get addressed at some point

Hi Sarah

sorry don't quite follow - is that when the club switches to gold AND new member of OR new member?

Any way of preventing it?

Sorry just to clarify if gold is already activated the email will send to a member when they are first added to the club database so all new members get the email

If a club have not yet activated gold then the email will send to all current members as they activate the gold functionality

No there is no way to prevent it, however now it is an editable email you can put your own spin on the content which might help

OKAY - but the sentence " The great news is that you can now pay all your subscriptions and fees in one handy monthly payment." is not editable - we don't offer that option - so i have to have the email as

Hi {{username}}

I am pleased to let you know that Greystones Cricket is now using the ClubBuzz accounting system to help collect subscriptions, fees etc. The great news is that you can now pay all your subscriptions and fees in one handy monthly payment. As a registered club member you now have an account page which can be accessed from your profile page when you login to the club website. This will allow you to keep up to date with all your payments to the club

PLEASE NOTE: THIS IS AN AUTOMATED EMAIL FROM OUR SYSTEM AND CANNOT BE PREVENTED FROM BEING SENT NOR EDITED

THE PARAGRAPHS ABOVE AND BELOW ARE INCORRECT - PLEASE REFER TO THE MEMBERSHIP SUBS PAGE ON THE MEMBER PAGE OF THE WEBSITE

SORRY FOR THE CONFUSION!!

The next steps are for you to let us know how you would prefer to pay your fees to the club so please login today to set your account payment preferences: https://greystonescricket.clubbuzz.co... You will receive a statement of account on the 15th of each month

Thanks

OK we can plan to make a change to the initial part of the email text

I am pleased to let you know that "Club name" is now using the ClubBuzz accounting system to help collect subscriptions, fees etc. and remove the rest of the sentence

That then does not imply that they can pay in one handy payment
