How to add employees and manage their roles

To add employees to a community and manage their role, you must be an Admin for your community here on Get Satisfaction.

The Employees & Roles page of the Admin section is where Admins can add employees, invite employees, assign roles and edit roles.

Admin - Employees & Roles

To add employees, use the "Invite an Employee" feature. Use the same email address that is associated with the person's Get Satisfaction user account. Once you click the button, they will automatically show up in the list above and then you can select the correct role for them.

Admin - Employees & Roles_add

If they don't yet have a Get Satisfaction user account, you will be prompted to invite them.

Admin - Employees & Roles_invite

Or, if you want all users who register on Get Satisfaction with an email address from your company or organization to automatically be added as employees to your community here, you can add your email domain.

Admin - Employees & Roles_domain

There are three levels of employee roles:

1. Employee An Employee badge is attached to their avatar in your Get Satisfaction community so that users know that they have an internal perspective. They do not have access to other tools or the Admin section. They can not mark a reply as the "Best answer from the company" or set the status on topics.

2. Official Rep Official Reps have both an employee title on their avatar and are identified as an Official Rep, which indicates that they are an official voice of the company. They can set their replies and the replies of other employees as the “Best answer from the company” and set the topic status on their replies. With a paid account, Official Reps also have access to the moderator tools.

3. Admin Same controls and advantages of an Official Representative. They also will have access to the Admin section. Only Admins can add, edit and remove employees.

As an admin, can I set up my employees' notifications when I create their accounts? I want them to receive email notifications when there are new posts that relate to their department (product, customer service, etc.).

Hi Patti: you can set RSS feeds for a product page, but email notifications will work for the whole company. Only new topics or replies can be set up for the email notifications at this time, so it's sorta all or nothing as far as email goes.

I'm the admin of Nathans Music Studio, but it won't let me mark an employee as a official rep. The radio button is like not letting click on it. Please help. Thanks!

Are you trying to update a topic from a question to a problem or something like that?
If you have moderator privileges you should see "moderator updates" button on the top right corner of the topic.
You can also go in to management view and change it there.

How do I add an admin to my community? I just want to ability to type in email addresses of colleagues to add as admins and they get an email notifying them of their login details.

Howdy! Just added a new employee (Chris Tran, for the company Quirky), but the radial button for Official Rep and the checkbox for Moderator are disabled (see image below). I unchecked other employees in case it was a problem with limits, but that didn't change the options.

Is there something I'm missing, or is this a bug?

Hi Shirley. Yeah, it looks like you've already got 5 employees set as moderators which is your plan limit, so you'll have to take that away from one of the employees in order to make Chris a moderator.

Hey, we're struggling to add employees - the email invite doesn't seem to work as employee never received email but he can't create new GetSat profile through normal registration either as his email address claims it's already taken...Invite not in spam either for ref! Pls help!

It looks like you guys are on the Start plan, which only includes one moderator sate which currently belongs to the "Letusknow" user. The Official Rep role is a moderator seat which is why you currently can't make Paul an Official Rep. Let me know if you have any other questions, or if there's anything I can help with!

I'm no longer seeing the "upgrade" button. I have employees that have used GS before we implemented and now I just want to upgrade their existing profiles to be employees.

Hi Paul. Can you tell me which "upgrade" button you're referring to? If you have users that already have GS accounts who you want to make employees, just invite them from your Employees and Roles page here. Please let me know if I'm not understanding your question!

Ah, my bad, Paul! This is an old topic with old screenshots that I should've updated when we did a refresh on that page. The Employee invitation/add process basically works the same except the button now says "Invite Employee" rather than "Upgrade" because the old verbiage was a bit confusing.

As Ki said above, you just add their name & email address to the fields on your Employees & Roles page. If they already have a user account with that email address, they'll automatically pop up into that Employee list.

I'm guessing it's still open only to the super admin. I'd like to know what's the process you follow once a domain has been added. How does the employee/page admin come to know of an employee addition. Is there a mail notification?

Yes, right now this is hidden to just super admin. We have made a note to open this up to all admins again.

Once the domain is added, all employees with that email domain will be automatically marked as "Employee". There is no email notification to the admin. If you want to have more control over who is added and when, you will want to not use this setting but instead add each employee one at a time.

I invited employees that did not have a GetSat account yet. They each clicked on the accept invite, and were shown a page that says they have been added as an employee. Yet, when I go back to the admin screen with roles, none of them appear. When I try to invite them again, it says they've already been invited. When they click on the Accept link in the email again, it says they've already accepted the invite. If I logout and login as them, with their email, it works, but shows their username as mine.

It seemed to have collapsed all my employees into one account. HELP!!

Apologies for the confusion!

It looks like when your coworkers accepted their email invitations, their browser was already logged into your Get Satisfaction account. This resulted in all of their email addresses being added as additional email addresses to your User Profile.

I have removed all the email addresses that have accidentally attached to your profile. You can resend your coworkers employee invites, but make sure that they are logged out of Get Satisfaction before they accept the invitation.

Hello,

One of our employees has signed up for a GetSatisfaction account before we invited him as an employee. When we invited him, another GetSatisfaction account was created.

Is there a way to make his original account an employee?

Sure, we can help with that! If you know the email address associated with his original account, you can invite him again using the instructions above.

We would be happy to do this for you if you'd like. If you could provide us with the profile URL of his original account, we can take it from there. Or, you could tell us the email address associated with his original account by submitting a ticket (this is to protect his privacy - we don't want to post his email here in the community).

Could you confirm the duplicate account? Is it Frederick's account? To keep things clean in your admin, I was hoping we could close the duplicate account and add both email address to the one master account ( to prevent another duplicate from being created).
