Access app questions on documentation, fields, records, file size etc.

Was there documentation I missed somewhere, what is the max size, number of fields, total records, etc this Access app will load, and why does it have to reload the view each time after a search. I have two databases to load, one with about 4500 records and over 25 fields and the other about 28,000 records with the same number of fields. I've removed excess queries, etc and both will crash a lot, the bigger one every time you try to access anything past 10,000th record.
File size of both is 9 Meg and I'm running this on an iPad 2 64 gig.
Database is Access 2000 format saved from Office 2010.
This thing is what I've been looking for but I don't need the crashes and need to find out it has to reload after a search.

Thanks for any information,

David Guess

The most common cause of DataGlass crashing is running out of memory. This can happen when loading many records, especially if those tables have a large number of columns or those columns contain a large amount of data (like memo or blob fields).

One way to mitigate this is to create a new custom query (the search icon) and specify just those columns of the table that you need. If you reduce the number of columns you see, then you should be able to load more records.

If crashes do persist, though, and if you are able to share the database with us, could you mail it to support@impathic.com and we'll take a look at it?

Also, as for documentation, we currently do not have any central documentation source. We are looking to rectify that for a future release.

And regarding "reload after a search", could you clarify what you mean by that?

  • Right now, you would not believe how much I want this app to work. I do not want to have to go a different program for Windows or the iMac and then a new app for the iPad 2.

You may want to set an alarm to wake you before finishing reading this.

    A) Problem 1

I have a couple of queries from Access and neight will work, they error each time but I should be able to redo those because it probably is an error on my end from renaming the database. The two errors are "ERROR executing query." "Failed to find All_Names in database P1" or "Invalid column or variable : LASTTRY102.House". I'm not worried about these much as long as I can figure out how to build a new query in this app.

I will have to get permission on sharing the database with you, as there is some personal information in it that I can problably easily change but still, it's not my database. I just stare it into submission a lot.

    B) Problem 2

The larger of the two (27,000 names) is the one that crashes all the time. It just won't load all the resords. Probably some things could be cut out I'm sure. I may have to break it into smaller databases before it's over with and figure out how to link them for a search. Access programming abiity is not high on my bucket list coming from a dBase II world.

    C) Now on to clarify reload.

I load my small database with approximate 4734 names. I have the options set to SHOW - Unlimited Records.

This theoritically should show all 4734 names. I never know what it will load from time to time. I've just done it three times anf gotten different results each time (2295, 196 and 1024). I can press either of the arrows, chevrons what you call them at the bottom to load more/view more and in the case of the 196 load result, it went to 2501 records visible. Press the left one again and it loads the rest and shows 4334. I can scroll thru them no problem most times though it will crash occssionally (constantly with the large database).

So I can begin a search if I:

    1) go all the way back to the top Then the search bar will appear.
    2) am at the bottom or the middle or anywhere but the very top, I can tap on the Search icon and select Search Criteria and nothing happens. I have to go all the way to the top to get to the search bar.

    3) Now this is where the documentation would have helped as I've seen the light so to speak on how this works (more or less) thru trial and error and shear determination laying in bed at 3AM to figure it out you have to add columns first to build the query then hit the Search Criteria for the wheel of Search which is just so neat that even I figured it out.

The search results window is open and shows the results of a search .

I see no other way to show the ALL the records I had previously been looking at like a BACK button or something instead of the Search, Recents Query History to All Records which I never know how many it will load and make visible each time (it just showed 1 record and the All Results button below it.

That's what I meant by reload to see all the records.

Sorry to put you to sleep but like I mentioned, I want this to work so bad because I know I still have some figuring out to do on it. Another order will be forth coming I'm sure for another user but I have to figure it all out then teach him.

Thanks for the time of your reply,

    David Guess

    A) This probably is definitely something that we would like to see the database to reproduce, once you have determined if you are able to share the database with us.
    B) How many columns are in that table, and what are the types of columns? If you reduce the number of columns you include in the query, does that help?
    C) So the reason for this behavior is that when you are loading many records, the load will stop if the iPhone is reporting that memory is getting low and that loading more records may result in a crash. So it again sounds like there is some large column (like a memo or a blob) that is causing the table to take up excess memory and threaten a crash.

  • A) I solved by looking at the query and realizing the info used for it was gone. That one I figured would be something like that.

    B) Looks like 27 columns and approx 27,000 records. I've gone thru the original db to remove some excess as there were queries upon queries and some other code so it now will load. There is some true/false columns, I think 3 or four maybe, some phone umbers, some other data that Access has steadfastly refused to aknowlege as general text and insists it's an exponiential number. I had given up trying to program it to read thru the numbers and extract it's meaning in Access a long time ago and ended up writing some VB6 code to do it from a CSV file. Anyway, I think it's getting closer to working and some re-education will be needed.

The original size before cleaning was 258 meg and is down to 9 meg now. I did notice that one query takes about 4 minutes to analyze keys according to the line above DATABASES button. I think the cleaning has helped as some of it wasn't used but maybe once but was saved.

    C) I can learn to live with it on the iPad 2. I haven't tried this on the iPhone 4 yet.

I just didn't want to convert this Access database to FileMaker Pro then get the FileMaker Go app. A lot of re-education would be needed for the users (me included).

I think overall I am getting there but there will be some bumps in the road.

    Thanks,

    dg
