How to Setup a User in GTreasury

Overview/ Getting Started

- All new users are set up as “Operators” in the GTreasury
application.

- All Operators are assigned to an Access Group.

- The Access Group stipulates what access rights and privileges
users have in using the System.

- This document does not cover how to set up an Access Group.

- Any change to the Access Group or Operator’s record will return
the Operator to an “Unapproved” Status.

- “Unapproved” users cannot access the GTreasury System

- For security purposes, the person that enters /
creates / edits either an Operator or their    Access Group in the system cannot
“Approve” the new Operator.




Process

These steps must be done in order:

1.    
Ascertain what Access Group the New
User is to be assigned to or create a new one.

2.    
Set up a new
Operator for the new user and assign to an Access Group.

3.    
“Approve” new
Operator.




Set up a new Operator for the New User

To add a new Operator to the GTreasury
Application go to Security – Create – Operator Security

 




When the screen appears, a list of all previously
enter users will show on the screen.

 

Click on Create New.

 



 

The Create Operator Security screen will display.



Operator Information

 



Oper ID:                             RCG defined Operator
Id convention for all users

Entity:                                RCG is not
using this field – Leave blank

Oper Created:                   A system generated date that
will be updated when the entry is saved

Name:                                RCG defined
naming convention for all users

External ID:                       Only
used for those Clients that have a third party security requirement

 

Account Disabled:            

This
field is actually used to disable Operators, not accounts.  Initially this box will aways be checked
until the new Operator entry has been “saved” and “approved”; then the box will
display empty.



Status:                                 

Initially
the status will show Unapproved until the new Operator entry has been “saved”
and “approved”

 

Password Never Expires: 

GTreasury strongly recommends that all users of
the system be required to reset their passwords occasionally for security
purposes.

This
option is mainly used for virtual operators set up to run batch jobs from the
scheduler.

 

User Must Change Password at Next Login: 



No one should ever
have knowledge of anyone’s password. The individual entering the new Operator
into the system needs to assign a temporary password and this field forces the
user to set up their personal password when logging in for the first time.  It also prompts users to change their passwords
when they expire.  GTreasury strongly
recommends that this box be checked for all users for security purposes. The
only time this would be left blank would be for virtual operators set up to run
batch jobs from the scheduler.

 

Batch User:                         

This
field should be left blank.  This field
is specifically used for the virtual operators set up to run batch jobs off the
scheduler. 



 Assign Temporary
Passwords


 



 

Enter the temporary password.  Once the new user enters their actual
password, these fields will update but the new password will be masked.

 

Assign Access Group

 

Locate and click on the Access Group for this new Operator to be
assigned to  – the selection will show in
the window above the list.

 



 

History

 Initially this section will be empty.  Every time this Operator is changed, a
control stamp will be entered in the History section of the record.



 

 

When all information has been added , click on “Save”.

 

The new Operator will show in the list.

 



 

NOTE: for security purposes, the person that
entered / created the new user cannot “Approve” the new user.



Approving New Operator


  

To “Approve” a new Operator in the GTreasury
Application go to Security – Create – Operator Security

 



 

 Locate your new Operator in the list – Initially their status will
show as “Unapproved”.  Click on “Approve”
from the “Actions” drop down list.

  



If you have multiple Operators to approve, locate each in the
list, click on the box to the left of the Operator ID, select “Approve
Selected” and then click on “Go”.

 

The Operator will now show “Approved”.

 

 

The new User is now ready to login.

 




How to Reset an Operator’s Password

 

From the Home page, go to Security – Create –
Operator Security

 



 

 Locate the User / Operator in the list and click on “Edit”.

 



 

Enter a new temporary password and click “Save”

 



 

NOTE: Resetting an Operator password will put it into an
“Unapproved” state and will need to be reapproved.  



 NOTE: for security purposes, the person that
entered / created the new user cannot “Approve” the new user.

 

Approve the Operator using the same process as stated above.  The Approver will not have to re-credential
the Operator.

 

How to Deactivate an Operator / User

 

From the Home page, go to Security – Create –
Operator Security

 



 

Locate the user in the list and click on “Disable”.

 



 

If you have multiple Operators to disable, locate each in the
list, click on the box to the left of the Operator ID, select “Disable  Selected” and then click on “Go”.

 



 

 

The Operator will still show in the list but the Status will show “Disabled”.

 

How to Edit an Operator’s / User
Record


 

 From the Home page, go to Security – Create –
Operator Security

 



 

 Locate the user in the list and click on “Edit”.

 



All of the fields with the exception of the Oper Id are available
to be edited. – make the necessary changes and “Save”.

 

NOTE: Edits to an Operator’s record will change the status to
“Unapproved” and someone other than the editor will have to re-approve the
Operator.

 



 

How to see Processing Control Stamps
on Operator Records


 

Every time an Operator’s record is changed in some way, a Control
Stamp is applied to the Operator record.

 

From the Home page, go to Security – Create –
Operator Security

 



 

Locate the user in the list and click on “View”.

 



You will note that the “Oper Created” field now shows the actual
date the Operator was created.

 

Additionally, every time this Operator is changed, a control stamp
will be entered in the History section of the record.
