inFlow & Email Integration?

Can I integrate email with inFlow? Once I generate a SO or Invoice, I would like the to mail it to the Customer via my own domain mail server.

Hi Mahesh,

Currently, you can email out invoices from inFlow by exporting the documents in PDF format and then attaching those files in your email client. Here's how it works: https://www.youtube.com/watch?v=5xGYVL...

We'll be looking into adding more email integration (e.g. popping up a window with the email address filled-in in the future.)

When you do 50-100 of purchase orders each day, having this made automatic would be very helpfull

Was the capability to directly email sales orders and invoices ever implemented (using our existing email client)?

If it has, please enlighten me, as I don't see it ...as each customer record contains their email address it shouldn't be that difficult and it would be a real time-saver over the export method suggested above!

Yes, I would agree with what's been said. Direct e-mail integration into all orders would be extremely useful.

Unfortunately no, this is not something that has been implemented as yet though it was added to the wishlist to be reviewed. We appreciate you following up! When features are added, GS threads are updated to notify those who were looking for the feature that it has been implemented.

this is absolutely the worst part of this system it makes no sense to have all of the info stored in the system and then have to export each piece of data to send it to someone.

Exporting individual packing lists is a major pain too.

Hi Joyce,

Unfortunately we do not have alerts right now but what you may find is that pulling a reorder stock instead of a report is much easier on you. The system should make suggestions about what needs to be re-ordered based on the minimum levels that you've set in your system and you can create the purchase orders straight from this window.

It's available via Main Menu > Inventory > Reorder Stock and can suggest how much stock you may want based on the minimum levels you've set up for your individual items. I would suggest using this feature as it's quite a bit quicker than pulling an inventory report.

Hi Joyce,

You can set it up in the extra info tab on the product record (as below):



The reorder point is the point at which the system should suggest a reorder when prompted and the reorder quantity is the minimum amount it should attempt to reorder. for instance if you dealt with tires, you likely would want to order individual tires all that often. In most cases you're going to need two or four so if you set your minimum reorder quantity to four, anytime you go below your reorder point the system will prompt you to reorder at least four tires.

My thinking is that it is dangerous for InFlow to delay emai integration any longer if it want / expects to remain relivant. In an age of email..... this type of procrastination is hardly appropriate. We have been using InFlow for almost a year now and email was one of the first things I questioned and was told the same thing.... Its a comin.... well guys, It aint a big deal. Just Do It!

However, due to the demands on the other features and the current capability to PDF documents for attaching it to your emails, I'm sorry to say that the email integration feature won't be coming quite soon. However, we appreciate all of your feedback and will continue on working to make inFlow better.

I cannot go into details of it, because they are still currently in development and things might change depending on factors such as technical feasibility, time requirement estimates, whether it fits with current design, overall balance with other features, etc..

I understand how this lack of promises can be frustrating to our users sometimes, but the last thing we want to do is to promise something, but later on find out we cannot deliver due to the factors mentioned above. So we usually go with the "under promise, over deliver" guideline.

In general, before we decide on what to work on, we go through our users feedback from this forum, emails from support, direct phone conversations with users, etc.. We do take our users community feedback very seriously, and will never take for granted the support and patience of our users. This we can promise.

Hey Anthony, just wanted to quickly give an update on this, we've changed the layout of the BOMs on Version 3.0 so we'll be looking forward to having it all in a separate tab within the product record. That should help with some of the viewing issues you're mentioning above. Hope that helps!

Hi Paul,

Mark's correct that inFlow doesn't send emails directly but what you might consider is that you can create a custom document that outlines what has been purchased and notes the status of the order for your client. Once printed it could be emailed to your client from there.

I think having no integrated emailing functionality is very old fashion. Any suggestions for a good inflow alternatives that does this very common feature?

Hi Sebastian,

I think you will find that this feature, as well as a lot of others that you may desire, are "missing" from inFlow. However, they are also missing from a lot of other programs, trust me. After spending a great deal of time researching other programs, we have still decided that inFlow was the best for us. Why? Even though inFlow doesn't offer an API, they still offer a description of their database layout here: (http://www.inflowinventory.com/Knowle...) If you, or someone you know, has enough knowledge, you can integrate inflow with...well almost anything. UPS, FedEx, Email, Online orders, reports, etc.

Hi Amna,

Not at the moment but as has been mentioned elsewhere in the forum, once Version 3.0 has been released it has the foundations we'll need to work towards other things like email integration as we move forward. For now the easiest way to handle emailing documents out is to save it as a PDF and then email it using your regular email provider (Outlook, Gmail, Yahoo etc.).

I know you do not support email at the moment.
When this feature will be implemented, is that it will be able to manage email in the inventory section?
eg: Generate an email for a loan or an acquisition of component.

Hi Jonathan,

I believe the idea is that from the screen itself, if for example you generate a Sales Receipt document you can just click a button to send it off to that customer's email. I do not know if this is exactly how we will implement it, but the principle idea for email integration is that you do not have to open your email and attach the document and then send it.
