Add participants field to meeting setup form

It would be faster and easier to create new meetings if you had the possibility to add participants at the same time as you input other meeting details.

  • I think that if we add more options to the create dialog, the non-mandatory fields should be hidden by default or the form becomes pretty big and daunting. Optimally it should probably be only the title, but as we don't yet support meetings without a date, it should be included also.

If this should be he case on the summary (home) page, should it also be the case on the page where you end up from the bookmarklet? Or should the bookmarklet page have all the fields open by default?

The link to open the other fields could read something like "Add detailed information.."

We should probably do a couple of mockups to see how the different approaches feel.

  • I think the current details are enough with title, date/duration and location. If we remove stuff from the form, it actually becomes harder to fill because you have to click so many things before your event is ready. The form is very fast to fill already anyway so why shorten it if no one is complaining and it's not cluttering the interface?

I suppose that one wants to setup the agenda, some files etc. before inviting people would be good practice so inviting people right from the form is actually counter-productive from the participant point of view who might join in very quickly.

The system could ask you after filling the form that if you'd like to add some participants now? Or highlight the part of the interface where you can invite people. But I suppose editing the preliminary agenda is of utmost priority.

  • I think that your event is practically never "ready" before you have added participants. Not adding participant inviting to the initial form and thus requiring the user to find the participant adding from an another view introduces the same problem of making it hard to get the meeting ready without clicking many things (and in this case even worse - finding where to click in a new view).

In addition to participants input field we could also add a simple textarea based preliminary agenda input in the creation dialog. This way big portion of meetings would not need to be touched after filling the creation dialog.

share@meetin.gs already works so that you can input title, date, duration, location, participants (other invited people) and agenda (the plain text description) with one action. Why should our own meeting creation dialog be any less functional?

It is true that this can be a two step process - but what grounds should we use to separate the fields in the first step and the fields in the second step?

Could the second step be integrated in the initial form so that it opens up after the user has typed in the initial information - indicating that the rest is not mandatory, but you can fill it up now to get everything sorted out quickly?

I still think there should be a chance to add participants in the meeting creation dialog if one wants. And why not the preliminary agenda too. Of course it should be VERY unobtrusive and the copy should imply, maybe even directly tell the user, that these steps can be done later too.

The fields could be added pretty smoothly to the form. A bit like Antti wrote above, it could be just two small links that appear in the bottom of the form after filling the title saying "Know the participants already?" and "Want to fill in agenda now?". Clicking either link would then expand the form with the desired field with some copy telling that this can also be done later.
